About Dharma Gates:
Dharma Gates is a growing meditation non-profit that works to open pathways into Buddhist practice for young adults. We pride ourselves in creating a caring work environment where all employees have the opportunity to deepen their own personal practice through retreats throughout the year. We are not associated with any particular Buddhist lineage, but support ecumenical dialogue across the various living practice lineages within the Buddhist tradition. Our primary activities are organizing in-person, donation-based meditation retreats for young people (ages 18-35) and offering a variety of online offerings to support emerging practitioners to build a meaningful relationship to Buddhism. A fully remote team, we enjoy a rewarding balance of autonomy and collaboration. For this role, attendance at some in-person retreats over the course of the year is optional. Director of Operations Role
We are seeking a seasoned non-profit professional to oversee the administrative functions of our organization over the coming years. We are looking for someone who is fluent in various operations technologies and best practices to ensure organizational efficiency and impact. This is a long-term, 30-hour-per-week, fully-remote position, with dental and health insurance, as well as paid vacation, sick leave, and paid time off to sit retreats.
Duties and Responsibilities
Administration and Operations
Oversee and manage all aspects of the organization’s compliance (legal, HR, insurance, 501(c)(3), and payroll)
Manage team administrative responsibilities, program calendars and timelines, team email account
Designing and maintaining efficient systems for project management, all-remote team collaboration, and CRM database management
Assist the Executive Director in designing organization policy and procedures (HR, programs, admin, and finance)
Maintaining accurate contact records for various organizational and programmatic constituents, including those that are linked with our website, registration system, payment processor, and email lists, and donors
HR
Assisting with hiring, evaluating job performance, and ensuring best labor practices for staff, teachers, and contractors
Running payroll
Communicating with and managing vendors (bookkeepers, insurance, payroll providers, software platforms)
Communicating with legal professionals to keep up-to-date labor processes and waivers
Onboarding new staff, including training in relevant software platforms
Finances
Collaborating with Executive Director and bookkeepers to establish an annual budget and ensure accurate organizational financial records
Overseeing organizational finances: tracking budgets and cash flow, overseeing yearly financial reporting, and tax-related records.
Assisting with annual fundraising campaign and other specific projects as needed
Desired Qualifications
2+ year of relevant experience (non-profit sector, project management, operations)
Excellent problem-solving and decision-making abilities
Experience in CRM (Salesforce or similar), website upkeep (Squarespace or similar), online collaboration tools
Strong organizational skills, including tracking and file management
Exceptional communication skills, both written and verbal
Commitment to creating an inclusive environment for all Dharma Gates participants, team members, and contacts
Ability to work collaboratively and contribute to a positive environment for for team members
(Preferred) Relevant degree in operations management, finance, non-profit management, business
(Preferred) Background in Buddhist practice, meditation, and silent retreats
Compensation: $42,500.00 - $55,000.00 per year (commensurate with experience)
